Administrative Coordinator

As an Administrative Coordinator, you’ll be responsible for maintaining association records accurately, including meeting minutes and bylaws. This will also include work on our community association governance in the form of:

Ensuring appropriate documents are included with various meeting agendas
Meeting agendas are sent out in a timely fashion in advance of meetings
Ensuring minutes of meeting are taken and draft distributed in a timely manner in advance of next meeting.
Timely submission of regulatory documents etc
Ensuring business calendar is kept up to date
Your attention to detail and organizational skills are essential in ensuring the smooth operation and communication within the association.

Business Liaison

As a volunteer business liaison for a SHCA, your main responsibility would be to help make connections with the business in and around Signal Hill. Connecting with business and creating sponsorship packages and in return the SHCA will promote the business and include them on future events. The businesses in Signal Hill are important to us, to build a community and belong for everyone. Your support as a Business Liaison will help us build relationships and connections to companies that will help us grow.

When is the Community Association’s Annual General Meeting Typically held?

The AGM is held after the completion of the audited financial statements. It typically occurs the second week of November. All are welcome to attend but only registered members can vote. If you wish to become a registered member, please do so here

Is there a minimum time commitment for volunteering?

This really depends on the activity that we’re hosting, it could be a simple hour at an event, or an hour or more a week helping organize an event or being a board member.

What types of volunteer opportunities are available?

We have a range of volunteering opportunities available throughout the year, anywhere from being on the board, to helping with our events such as skate night, Easter egg hunt or movie night.

How often are community events held?

We try to have a community event once every two months, but this all depends on weather and volunteers.

What’s the cost of a community membership?

A membership costs $20 for a Signal Hill resident and $30 for a non-resident. You can learn more about our memberships here, purchase a membership here.

Treasurer

As a volunteer treasurer for a SHCA, your main responsibility would be to manage the financial affairs of the organization. This includes keeping accurate records of income and expenses, creating and managing budgets, preparing financial reports for board meetings, and ensuring compliance with financial regulations and procedures. You may also be involved in fundraising efforts and providing financial guidance to the board of directors or executive committee. Overall, your role is crucial in maintaining the financial health and transparency of the community association.

Secretary

As a volunteer secretary for a SHCA, your primary role involves managing administrative tasks and maintaining accurate records of meetings and correspondence. This includes taking minutes during meetings, organizing and distributing agendas, handling incoming and outgoing communication, and maintaining membership records. Additionally, you may assist in coordinating events, managing schedules, and providing administrative support to the board of directors or executive committee. Your attention to detail and organizational skills are essential in ensuring the smooth operation and communication within the association.

What type of weekly commitment is it to be a Board Member?

This is dependent on the role within the directors. As an example, for Treasurer you can expect to spend 4-10 hours a month (including the monthly board meeting). For Secretary, this could be 4-10 hours also between creating an agenda for monthly meetings, taking notes during meetings, and providing the minutes to the board after the meeting.

What type of work do Board Members do?

Board members are tasked with the management, maintenance and financial oversight of the community assets. For us those mostly involves management of the Hockey and leisure skating rinks for use all year round as well as the park to the North East.
